This Privacy Policy explains how MetaData Builder (the “App”) and our website collect, use, disclose, and protect information. By using the App or our site, you agree to this Policy.
1) Scope & Who We Are
This Policy applies to: (a) the MetaData Builder macOS application, and (b) the public website, support pages, and forms hosted under our domain (the “Site”). It covers information you provide to us and information processed on your device through integrations you enable.

2) Information We Collect
2.1 Information you provide
- Metadata entries: Titles, synopses, genres, ratings, cast/crew, poster/trailer URLs, cue points, distributor templates, and other fields you enter in the App.
- Support submissions: Name, email, company, role, issue details, logs, screenshots, sample CSV/JSON, and file attachments provided via our support forms.
- Communications: Emails or messages sent to our support address.
2.2 Information from integrations you enable
- TMDb / IMDb / OMDb lookups: If you enter an ID or enable autofill, the App requests title data from the respective API. Requests include the ID and required auth tokens; responses may include title, year, runtime, artwork links, genres, credits, and related metadata.
- Firebase (anonymous sign-in, optional): The App can use Firebase to persist your work across sessions. Firebase may process a device identifier and an anonymous user record to store your project data. No personal name or email is required for anonymous sign-in.
2.3 Website information
- Basic web logs: Our Site may collect standard server logs (IP address, user-agent, referrer, timestamps) for security and reliability.
- Cookies & local storage: We use minimal cookies/local storage for session state and UI preferences. We do not sell personal information.
3) How We Use Information
- To provide the App/Site: Render screens, save projects, export metadata files, and deliver requested features.
- Autofill & enrichment: When you request lookups, we fetch and map fields from TMDb/OMDb/other sources into your project.
- Support & troubleshooting: Diagnose issues, respond to tickets, and improve reliability using logs or files you share.
- Security & abuse prevention: Detect misuse and maintain service integrity.
- Compliance: Meet legal obligations and enforce agreements.
4) Legal Bases for Processing (EU/UK GDPR)
- Contract: To deliver the App/Site you request.
- Legitimate interests: To keep our services secure, fix bugs, and improve user experience.
- Consent: For optional features (e.g., autofill, AI assistance) or cookies where required.
- Legal obligation: Where necessary to comply with the law.
5) How We Share Information
- Service providers: We use trusted processors to host the Site, provide cloud storage (e.g., Firebase, if enabled), and facilitate support. They process data on our behalf under contractual safeguards.
- APIs you invoke: When you use TMDb/OMDb/IMDb lookups, the App sends requests (e.g., IDs) to those services and receives metadata responses.
- Legal & safety: We may disclose information where required by law or to protect rights, safety, or security.
- Business transfers: In the event of a merger, acquisition, or asset transfer, your information may be transferred as permitted by law.
We do not sell your personal information.
6) Cookies & Similar Technologies
We use minimal cookies or local storage for essential functionality (e.g., session state, theme). If analytics or performance cookies are introduced, we will update this Policy and, where required, request consent.
7) Data Retention
- On-device projects: Your project files remain on your device or cloud drives you choose until you delete them.
- Firebase (if enabled): Anonymous project data persists until you delete it within the App or request removal via support.
- Support tickets: We retain emails, logs, and attachments for as long as needed to resolve the issue and to improve quality, then archive or delete them per policy.
- Web logs: Retained for a limited period for security and operations.
8) Security
We implement technical and organizational safeguards appropriate to the nature of the data we process, including transport encryption, access controls, and least‑privilege practices. No system is 100% secure; please use strong passwords on your devices and avoid sharing secrets in support attachments.
9) International Data Transfers
Our service providers may process data in countries other than your own. Where applicable, we rely on appropriate safeguards (such as Standard Contractual Clauses) to protect your information.
10) Children’s Privacy
Our App and Site are intended for use by adults working in film/TV distribution workflows. We do not knowingly collect personal information from children under 13 (or the relevant age in your jurisdiction).
11) Your Privacy Rights
Depending on your location, you may have rights under laws such as the GDPR, CCPA/CPRA, or other regulations, including:
- Right to access, correct, or delete your personal information.

12) AI Features & Automated Assistance
The App may offer optional AI features (e.g., logline polishing, genre suggestions, caption linting). These are opt‑in. When enabled, we send only the minimum data needed to generate results (e.g., text you select). We do not transmit video files to AI services. Outputs are suggestions; you control what is saved to your project.
13) Third‑Party Services
- Apple App Store / Payments: Purchases are processed by Apple; we do not receive your payment card details.
- TMDb / OMDb / IMDb: Used for optional metadata lookups. Their use is subject to their own terms and privacy policies.
- Firebase (Google): If you enable anonymous sync, Firebase acts as our processor for storing project data.
- Support tooling: If we use a ticketing or email platform, messages you send may be processed by that provider.
14) “Do Not Track” & Global Privacy Control
Our Site currently does not respond to browser “Do Not Track” signals. Where required, we will honor Global Privacy Control (GPC) for applicable jurisdictions and update this Policy accordingly.
15) Changes to This Policy
We may update this Policy from time to time. The “Last updated” date reflects the most recent changes. Material changes will be highlighted on this page or communicated through the App/Site.
